5 Things to Prepare Before Requesting a Printing Quotation

Nothing slows down a printing project like a vague request. "How much are business cards?" sounds simple, but the honest answer is: it depends — on quantity, size, paper, colors and finishing. The good news is that getting a fast, accurate quotation is easy when you arrive prepared. Here are the five things to have ready.

1. The Exact Product and Specifications

Name the product precisely — not just "cards" but business cards, ID cards or invitation cards. Then add the specifications that affect price:

  • Size (e.g. A4, A5, 90×55mm, custom)
  • Material or paper weight (e.g. 300gsm card, glossy, matte)
  • Single-sided or double-sided printing
  • Finishing — lamination, numbering, folding, binding, eyelets

2. The Quantity

Quantity is the single biggest driver of unit price. Printing 1,000 flyers costs far less per piece than 100, because setup costs are shared across more copies. If you are comparing options, ask for prices at two or three quantities — you will often find that doubling the order adds only a fraction to the total.

3. Your Artwork Status

Tell your printer where your design stands:

  • Ready artwork (PDF/AI) — fastest and cheapest route to print.
  • Rough idea or old sample — a designer can recreate or refine it.
  • Nothing yet — no problem; design from scratch is part of the service, just say so upfront.

At EFC Empire our in-house design team handles all three situations daily, so never let missing artwork delay your project.

4. Your Deadline

"As soon as possible" helps no one plan. A real date — even an approximate one — lets the production team schedule honestly and tell you immediately whether express production is needed. Events, launches and campaigns have fixed dates; share yours and we will work backwards from it.

5. Delivery or Collection Details

Finally, say where the finished order should go. Collection from Juba? Delivery within Central or Western Equatoria? Logistics affect both timing and cost, and including them upfront means your quotation arrives complete — no surprises later.
